Why faster lead follow-up belongs in your paid media plan

You pay for the click, the landing page and the form. Then the lead waits. Why response time is a paid media problem, and how to measure and fix it.

Getting an enquiry is only part of the job. If it waits in an inbox with no clear owner, the campaign has paid for an opportunity your business may never follow through on.

What the research found

InsideSales’ 2021 lead response research examined 5.7 million inbound leads across more than 400 companies. It found that 57.1% of first call attempts happened more than a week after the enquiry.

That is context, not a prediction for your business. Check your own response times and whether delays are associated with lower qualification and close rates.

Why this is a paid media problem

Campaign reporting is harder to interpret when some leads get prompt attention and others wait. When follow-up is slow or patchy:

  • campaigns look worse than they are, because good leads go cold before anyone calls;
  • budget gets cut from channels that were working;
  • when sales outcomes feed campaign optimisation, missed opportunities can distort the feedback.

Measure it first

Response time is easy to measure once both ends are recorded.

  1. Make sure your CRM stores the exact time a form was submitted.
  2. Record the time of the first real contact attempt: a call, or a personal email.
  3. Report the median time to first contact, split by lead source and by time of day.

Look closely at evenings, weekends and busy weeks. That is usually where the averages hide the worst delays.

Then fix it

  • Route leads to a person, not a shared inbox, with a clear owner for every new enquiry.
  • Acknowledge instantly with an automatic email or text that sets expectations and offers a booking link.
  • Set cover rules for out-of-hours and holidays, so nothing waits until Monday by default.
  • Flag untouched leads automatically when they pass an agreed time limit.
  • Send outcomes back to the ad platforms, so campaigns learn which leads became customers.
